Tips & Tricks: Positions
Pick colours with meaning β Use warm colours (red, orange) for leadership roles and cool colours (blue, green) for operational roles. A consistent colour logic makes the schedule grid scannable without reading every label.
Drag positions into priority order β The sort order you set on the Positions page carries through to every dropdown in the app. Put your most common roles at the top so they're always one click away when assigning employees.
Keep the list under 15 positions β A long list of hyper-specific positions ("Senior Bartender Evening Shift") slows down every dropdown and clutters the schedule. Use broad role names and let teams handle the organisational detail.
Update positions before the new schedule period β If someone got promoted, change their position before you start building next month's shifts. That way the schedule grid shows accurate role labels from the start, and you don't have to remember mid-week that the colour is wrong.
Use positions to spot scheduling imbalances β Glance at the schedule grid colour pattern. If one shift is entirely green (one role) with no blue (another role), you may have a coverage gap. Positions turn the grid into a visual checklist for role diversity on every shift.
