Credit Notes Tips & Tricks
-
Create credit notes from the invoice page. Using the "Create Credit Note" button on an invoice pre-fills the client, project, and all line items. This saves time and ensures the link between the two documents is set up correctly.
-
Use partial credits instead of voiding and reissuing. If a client was overbilled by one line item, credit just that item. This is cleaner than voiding the entire invoice and creating a new one from scratch.
-
Apply the credit note after sending. Sending notifies the client, but applying it is what adjusts the invoice balance. Do both steps to keep your books and your client in sync.
-
Check the VAT summary before sending. Make sure the VAT rates on the credit note match the original invoice. The system copies them automatically when you create from an invoice, but verify if you have edited any lines.
-
Keep a note on standalone credit notes. When creating a credit note without linking to a specific invoice, add a description or note explaining the reason. This helps your accountant understand the context during reconciliation.
