Document Center Tips & Tricks
-
Use acknowledgments for compliance documents. Whenever you update a policy that employees must know about, enable acknowledgment tracking. You will have a timestamped record of who read it and when β invaluable during audits.
-
Set expiry dates at upload time. It is much easier to set the expiry date when you first upload a document than to remember to add it later. Make it a habit for anything with a validity period.
-
Build your Wiki gradually. You do not need to write everything at once. Start with the five most frequently asked questions in your company and expand from there. A small, useful Wiki is better than an ambitious empty one.
-
Use the ZIP download for handovers. When onboarding a new manager or handing off a project, use the folder ZIP download to bundle all relevant documents into a single file they can review offline.
-
Restrict sensitive folders to the right teams. Salary documents, disciplinary records, and strategic plans should only be visible to those who need them. Review your folder visibility settings quarterly to make sure access is still appropriate.
