Template placeholders
Contract templates use placeholders that are replaced with actual data when generating a PDF. Placeholders are available for employee details (name, address, birthdate, gender, position), company details (company name, address, city), and contract details (start date, end date, salary, work percentage, weekly hours, vacation days, 13th-month salary).
When a placeholder has no value β for example, if the employee's address is not filled in β it is replaced with an empty string. Review employee profiles before generating contracts to ensure all fields are complete.
Multi-language contract generation
Organizations operating across language regions of Switzerland typically need contracts in German, French, and sometimes English. Create one template per language and mark each as the default for that language. When generating a contract, the system pre-selects the template matching the employee's preferred language.
If an employee needs a contract in a different language than their profile setting, you can manually select any available template during generation.
Contract lifecycle management
Contracts follow the employee's salary history. Each salary configuration can have one generated contract. The typical lifecycle is: create salary configuration, generate contract PDF, employee signs, store the signed copy. When compensation changes, a new salary configuration and contract are created β the old ones remain for historical reference.
For employee departures, end the current salary configuration with the last working day. The system preserves all contracts and salary history for the legally required retention period.
Handling contract amendments
Sometimes you need to change a single detail (like vacation days) without creating a full new contract. In this case, generate a contract amendment β create a new template specifically for amendments that references the original contract date and lists only the changed terms. This approach keeps your contract history clean and legally sound.
Template versioning
When Swiss employment law changes or your company policies update, you may need to revise your contract templates. Edit the existing template for future contracts β all previously generated PDFs remain unchanged. If you want to keep the old version available for reference, duplicate the template before editing, rename the old one (for example, "Standard Contract β 2025"), and update the active version.
